Expansive FM awarded CAFM partnership deal with St Monica Trust

Following a competitive tender process Expansive FM has been appointed as the CAFM partner for the St Monica Trust.

The St Monica Trust is a charity that operates five retirement villages in the South West, along with the management of four care homes in Bristol, North Somerset and BANES, all designed to provide care tailored to its residents.

The Trust has grown rapidly in recent years and has ambitious plans to extend its operations to keep pace with the needs of an ageing population.

Given the scale of its growth plans in such a highly regulated sector, it was paramount to find a reliable CAFM system to oversee its facilities’ maintenance and compliance, and in 2022, the Trust began a tender process to find a new CAFM partner.

Gerard Hallet, Head of Facilities and Capital Projects, was clear he wanted to introduce best-in-class CAFM technology to consolidate a large contractor roster, gain strategic oversight of assets, scale compliance capabilities, and become a data-driven FM team, but realised success depended on getting the fundamental building blocks of the strategy in place first.

To capture and analyse the right data, St Monica Trust needed the tools to digitise and automate work order management, asset registers, reactive maintenance and PPM.

Hallet was impressed by the flexibility and usability of the Expansive platform. He said: “We needed a system that our engineers could use in the field with minimum training. It needed to operate across many different sites, by engineers in all sorts of places in quite complex buildings. The Expansive platform really fitted the bill.

“We wanted a ‘made for mobile experience’ that could capture as much data as possible in real-time – and help us continually review and optimise our process as we did so.”

The CAFM’s data-crunching capabilities will be a vital part of the Trust’s plan to support future growth and safeguard compliance.

Hallet added: “Our plan is to lay the foundations for future growth with these digital tools. With the Expansive CAFM, we’ll have the right systems in place to scale compliance with HSE and CQC requirements. It will give us the oversight we need to manage day-to-day contractor performance, and then the strategic data we need to plan our future growth.”
